Privacy Policy
How Propello collects, uses and protects your personal data, and the rights you have under Botswana's Data Protection Act 2024.
Who we are
Propello is a go-to-market agency and HubSpot Partner based in Botswana. In this policy, "Propello", "we" and "us" mean Fine Media (Pty) Ltd trading as Propello.
We are responsible for the personal data we collect through gopropello.com, its tools, games, guides and newsletter, and through our sales and client conversations.
Questions about this policy or your data go to legal@finemediabw.com or +267 77 885 522.
What this policy covers
This policy explains what we collect, why, who we share it with, how long we keep it and what you can ask us to do with it.
It covers visitors to our website, people who use our free tools and games, subscribers to The Propeller, people who download our guides, people who book a call with us, and contacts at our clients and prospects.
It does not cover data we process for our clients inside their own HubSpot portals. That work runs under our client agreements, where the client is the controller and we act on their instructions.
What we collect
What you give us. Your name, work email, company, role, phone number and anything you write in a form or message. This happens when you book a strategy session, download a guide, subscribe to The Propeller, ask for your tool or game results by email, or contact us.
What you enter in our tools. The website address you ask a grader to check, the domain you ask the email deliverability check to test, competitor addresses, and your answers to the tools' questions. A website address on its own is usually not personal data, but we treat what you enter with the same care.
What our games keep. Your scores and progress stay in your own browser (local storage) so you can pick up where you left off. If you choose to join a leaderboard, we store the name you enter and your score.
What we collect automatically. Pages visited, time on page, the site that sent you, your browser and device type, an approximate location from your IP address, and the cookie identifiers described under Cookies.
What others give us. Details a colleague shares when they introduce you, and public business information such as your company's website and LinkedIn page.
We do not ask for sensitive personal data, such as health, religion or political views. Please do not send it to us.
Why we use it
We use your data only for the reasons below, and each has a basis in the Data Protection Act 2024:
- To answer you and run the call you booked. Basis: the steps you asked us to take before a contract, or our legitimate interest in replying.
- To send what you asked for, such as a guide, your tool results or The Propeller. Basis: your request, and your consent for the newsletter.
- To send you other marketing email. Basis: your consent, which you give with an unticked box and can withdraw at any time.
- To run the free tools. Basis: your request. The tools send the address you enter to Google to run the checks.
- To deliver work for our clients and manage our relationship with their teams. Basis: the contract.
- To understand how the site is used and improve it. Basis: our legitimate interest, and your consent where cookies require it.
- To keep the site secure and stop abuse of forms and tools. Basis: our legitimate interest.
- To meet legal, tax and accounting duties. Basis: legal obligation.
We do not sell your personal data. We do not make decisions about you by automated means alone that have legal or similarly significant effects.
Who we share it with
We share data only with service providers that run part of our work, under contracts that require them to protect it:
- HubSpot, our CRM, website host, forms, email and analytics platform. It holds the contact records, form submissions, email history and site analytics.
- Google, which runs the PageSpeed Insights checks behind our Website, SEO, AEO and Competitor graders (it receives the address you enter), and Google Public DNS, which our email deliverability check queries for your domain's public records.
- Professional advisers such as our auditors and lawyers, where needed.
- Authorities where the law requires it.
If Propello is ever sold or merged, your data may pass to the new owner under this policy.
Data sent outside Botswana
HubSpot and Google store and process data outside Botswana, mainly in the United States and the European Union. We use these providers only on terms that protect your data to the standard the Data Protection Act 2024 requires.
Cookies
Cookies are small files your browser keeps for a site. We use:
- Necessary cookies that keep forms, security and your cookie choice working.
- Analytics cookies from HubSpot that tell us which pages are read and which tools are used.
- Marketing cookies from HubSpot that connect a form you submit to your earlier visits, so we know what you were interested in.
The cookie banner lets you accept or refuse analytics and marketing cookies, and you can change your choice at any time from the link in the site footer. You can also block cookies in your browser settings; some parts of the site may then not work.
How long we keep it
- Prospect and contact records: for as long as we are in touch, then up to 24 months after our last interaction.
- Newsletter subscribers: until you unsubscribe. We keep your email address on a suppression list so we never email you again by mistake.
- Client records: for the length of the engagement and up to 7 years after it ends, for legal and tax reasons.
- Tool entries and leaderboard names: up to 12 months.
- Game progress in your browser: until you clear your browser storage.
After these periods we delete the data or make it anonymous.
Your rights
Under the Data Protection Act 2024 you can ask us to:
- tell you whether we hold data about you and give you a copy;
- correct data that is wrong or incomplete;
- delete your data where we no longer have a reason to keep it;
- stop or limit how we use it, including for direct marketing;
- give you your data in a portable format where the Act allows;
- withdraw a consent you gave, without affecting what we did before.
To use any of these rights, write to legal@finemediabw.com. We may ask you to confirm who you are. We reply within 30 days.
Every marketing email has an unsubscribe link that works straight away.
If you are unhappy with how we handled your data, please tell us first. You can also complain to the Information and Data Protection Commission of Botswana.
How we protect it
Access to our HubSpot portal is limited to the people who need it and protected by two-factor sign-in. Data moves between your browser and our site over encrypted connections. We review who has access when people join or leave.
No system is perfectly secure. If a breach puts your data at risk, we will tell you and the Commission as the Act requires.
Children
Our site and services are for businesses. We do not knowingly collect data from anyone under 18. If you believe a child has sent us their data, write to us and we will delete it.
Links to other sites
Our blog and pages link to other sites, including HubSpot's. Their privacy policies, not this one, apply there.
Changes to this policy
When we change this policy we update the date below. If a change affects how we use data you have already given us, we will tell you by email before it applies.
